This policy explains what information CallChatSyn (“CallChatSyn,” “we,” “us”) collects through callchatsyn.com and the CallChatSyn apps, why we collect it, and who we share it with. It covers two kinds of people: the business owners and team members who sign up for a CallChatSyn account, and the customers who message or call a business that uses CallChatSyn.
This is a plain-language summary of our practices, not a substitute for legal advice. If you have questions about how it applies to your specific situation, talk to your own counsel. See also our Terms of Service.
Information we collect
Your account information
When you sign up, we collect your email address, a password (stored as a salted hash, never in plain text), and your business name. If you invite teammates, we collect their email address and the role you assign them.
Business content you provide
Whatever you configure to run your bot: FAQ entries, order records, appointment availability, your WhatsApp business number, and a voice greeting (which may include an audio recording you provide or one we generate for you via ElevenLabs).
Your customers' information
When someone messages or calls a business that uses CallChatSyn, we collect their phone number, their name if they give one, and a transcript of the conversation (text messages as sent, and voice calls as a speech-to-text transcript — we do not store raw call audio recordings). If they book an appointment or ask about an order, we store the details they share to complete that request. This data belongs to the business, not to us — we process it on the business's behalf so their bot can function, the same way a business's own phone system or CRM would.
Payment information
Subscription payments are handled entirely by Stripe. We never see or store your card number — Stripe passes us only what we need to run your subscription (plan, status, and a customer reference ID).
Usage and analytics data
We collect standard web analytics (pages viewed, general device/browser info) via Google Analytics, and we log feature usage inside the product (e.g. sign-ups, FAQs created, appointments booked) to show you your own dashboard stats and to understand which features are actually used.
How we use this information
- To operate the bot: routing your customers' messages and calls, answering FAQs, checking order status, and booking appointments.
- To run your dashboard: analytics, call/message transcripts, and the customer roster built from your own data.
- To process payments and manage your subscription through Stripe.
- To send account, billing, and product emails (e.g. onboarding, support replies, appointment reminders).
- To maintain and improve the product, including diagnosing bugs and understanding feature usage.
- To meet legal obligations and enforce our terms.
We do not sell personal information, and we do not use your customers' conversation data to train models outside of answering that conversation.
Who we share it with
We use the following service providers to run CallChatSyn. Each only receives the data it needs to do its job:
- Supabase — database, authentication, and file storage.
- Stripe — subscription billing and payment processing.
- Twilio — WhatsApp messaging and voice calling infrastructure.
- ElevenLabs — text-to-speech voice generation.
- Resend — transactional email delivery.
- Google Analytics — website analytics.
- Vercel — application hosting.
We may also disclose information if required by law, or to protect the rights, safety, or property of CallChatSyn, our customers, or others.
Data retention
We keep account and business data for as long as your account is active. If you close your account, we delete your organization's data (including your customers' conversation history) within a reasonable period, except where we're required to keep records for legal, tax, or billing purposes.
Your rights and choices
You can access, correct, or delete your account data at any time from your dashboard, or by contacting us. Marketing emails include an unsubscribe link. If you're a customer of a business that uses CallChatSyn and want your conversation data removed, contact that business directly — they control that data, and we act on their instructions.
Children's privacy
CallChatSyn is a business tool and isn't directed at children. We don't knowingly collect personal information from anyone under 16.
International data transfers
Our service providers operate infrastructure in multiple countries, which may mean your data is processed outside the country where you or your customers are located.
Security
We use reasonable technical and organizational measures to protect your data, including encryption in transit and row-level access controls on our database. No method of transmission or storage is 100% secure, and we can't guarantee absolute security.
Changes to this policy
We may update this policy as the product changes. We'll update the date at the top of this page when we do, and for material changes we'll make a reasonable effort to notify account owners by email.
